Protecting Student Privacy ONline

As teachers, parents, students, and administrators trust us with so many things. We’re trusted to educate children every day. We’re also trusted to keep them safe and always consider their best interests. As I exist more in the teacher world’s social media, I am concerned about student privacy online.

A few years ago, Europe rolled out new data protection rules and regulations, and I just so happened to be working in the EU at that time. These data rules were intense, but they made me reflect upon the student data I collect as a teacher and the information I share as a teacher. 

When I first started blogging, I asked a fellow teacher blogger for advice, and she recommended that I never use pictures of students online. I have since followed that advice. Hopefully, if you follow me, you know absolutely nothing about the identity of my students. That’s the goal. Protecting our students’ privacy is so critical. Here are some pieces of advice about protecting your students’ privacy online. 

One

Don't Use Their Image

Sure, in the classroom, I take pictures all the time. Actually, since GDPR, I take fewer photos. The pictures I do take I upload onto my school computer and drive and then delete off of my phone. I have no images of students on my phone at all. I don’t have them saved anywhere. I don’t have any- none. With GDPR, we weren’t allowed to, and I happen to think that while strict, it is a good practice.

I am not my students’ parent or guardian, and I should not be able to make decisions about where their image is used. I feel that if teachers are going to use their students’ pictures online, they need to have written consent each time AND they need to fully disclose what they are using the image for, why that image, and what benefits they receive by posting the picture. 

I even take issue with the blocking of students’ faces. Many times you can still identify students based on what they are wearing or different identifying features. I firmly believe that we shouldn’t take any chances. If parents want to post their children, that is a different story. As teachers, we aren’t the parents.

I even unfollow any teachers who post images of students on Instagram. It’s an automatic no from me. Even if they say, they have permission- no thanks! I know that blogs that use stock photos like my own might seem impersonal, but I would rather that then know all the details of someone’s class. 

Two

Don't Share Their Names

One simple way to ensure student privacy online is to not use their names. Names are so unique and such a defining part of our identities. Student names should not be shared online either. I can’t tell you how many times I would have to re-record an entire Instagram story last year because I accidentally walked past one of the million places my kids’ names were posted in our classroom. I ended up always recording them in one corner where there were no features that could determine my location or student identity. That might seem extreme, but why would I let a world of strangers know that information? 

As I blog, I, of course, might want to use names to create a picture. On my letters and letter-sound post, I wanted to show an example of a name chart. I chose names at random. I included some Polish names for fun, but I didn’t include the names of any of my little diamonds. Actually, when I am procrastinating on a blog post, I can spend hours on baby naming websites searching for just the right name! 

This year I started using the singular they when discussing students online. This way, gender wasn’t even discernable. Now, when I say discussing students, I mean times like this- I thought of a hilarious time a few years ago that I was reading Sideways Stories from Wayside School. When Mrs. Gorf turned the kids into apples, one diamond shouted out, “Why didn’t she turn them into chicken nuggets?!” It was hilarious, and I shared that story on Instagram. I’m not discussing any other student information online. 

Three

Stop Recording Yourself Teaching

What’s up with this? I mean that with love in my heart. My time that I am in front of the students is a time when I am their teacher. I am not teaching to perform and share online. I am teaching to educate those little diamonds in my classroom. If I want to share something I’ve done with my class, I can share it another way. 

Last year we did flashlight reading, and I wanted to take a picture of it to share. I, of course, didn’t want to share the image of any of my students, so I took a photo alone, in a dark room, with the lights off, holding a flashlight. I felt like a total fool because it isn’t my style, but I would rather feel like a fool alone than record myself teaching in front of kids to share on social media. I jokingly say all the time that I wish specific lessons were recorded because they went so well, but I don’t usually record myself. 

I did record a few guided reading groups last year to use as teaching tools for our assistant teachers. I had parent consent before filming and explained that this filmed teaching would stay in the school’s drive. It did. I don’t have those guided reading lessons anymore. When I taught Reading Recovery, I filmed myself teaching to improve on my practice, but I had parent consent, and I no longer have those videos.

Don't Share Specific Data

Whenever I talk about student data, I make it up. I make up kids’ names. When I shared the post about planning for instruction, I made up the details of my class. You don’t need to know the real details of my class. You don’t need to start guessing who is who. Even covering up names when sharing class data is dicey. What if people saw that and started figuring out who was who? Often lists are in ABC order. It wouldn’t be too hard to figure out. That is not a game I want to be involved in.

What’s the purpose of the student data you want to share? What story are you trying to tell? Could you create fake data to tell the same story? And when I say false data, I mean it. When I made up that other data, I just plugged in random stuff, which was kind of fun. I didn’t think about a specific student and then fictionalize them. Nope- then it isn’t made up. I just plugged in random information into a sheet.

WIPS- The New WWJD

Maybe you didn’t go to Catholic school in the late 90s, but WWJD was all the rage. It stands for What Would Jesus Do, and it was everywhere. Guaranteed, I had at least a bookmark and a bracelet with this saying on it. We joked about it all the time, and it came rushing back to me just now! #yourewelcome I might be the only person who finds this funny or remembers it, but number five in this blog post is cracking me up! 

So I lived my 5th-grade life following the WWJD motto, and now I follow the WIPS motto. WIPS stands for What If Parents See. I don’t know how much some teachers disclose about their online life to their actual students’ parents. But I think this motto benefits all. I always operate under the assumption that everyone I know will see everything I post. So, if you don’t want people to see it, don’t post it. This motto can save you a world of problems.

SIDENOTE: One time, I followed this very teacher famous Instagrammer who always posted pictures and videos of her kids. One day she suddenly disappeared like her whole account- gone. Then her BFF posted that she had to make a new account, and we should follow her there. A true lover of drama, I went to the new private account. This Instagrammer said a few parents and students found her page, and she had to delete it and start a new one because she didn’t want them to know what she said online. I followed her for like a week more, and she posted kids’ images on her new page! She also told stories and used kids’ names! Like stories, I would guess you wouldn’t want to be shared about your kid. On the account that she hid from parents and students! That’s not good. If you have to make a private account (where you’re still sharing student data) to hide from parents and kids, it isn’t right. At all. We can do better. We need to protect our student’s privacy online- no matter what.

Parent Communication Log- I NEED IT TO BE EASY

Using Google Forms as a parent communication log is one of the greatest things I’ve ever done. It is so easy and super helpful! 

A few years ago, I was about halfway through the year when I realized that I wasn’t keeping logging any of my parent communication! Eeek! It wasn’t that I wasn’t communicating with parents. I wasn’t making any record of it. I tried to jot down a sticky note and put it in a file, but it wasn’t working. It wasn’t easy enough for me, and all those crumpled notes in a file folder weren’t helpful. Then GDPR rolled around and writing random notes and shoving them somewhere wasn’t going to work. I had to digitize my communication log. Luckily this worked in my favor, and I was able to keep track of parent conversations much more convenient. 

Hooray for Google Forms!

I made a Google Form and then pinned it in Chrome right next to my Gmail. Any time I had a conversation with a parent, I simply logged it on the form. I was able to easily keep track of who I had talked to and what I had discussed.

BONUS! When I used Google Forms for my parent communication log I was able to more easily look at and analyze my data due to how the form presents it. This was revolutionary. Here’s how I did it and the sort of data you can discover. Hopefully, this can help you too!

How to Create Your Own Form

  1. Open Google Drive
  2. Click the new button on the top left

3. Hover over more

4. Click Google Form (purple logo)

Name Your Form

Name your form and add a description if you would like. I named it Parent Communication 19-20 just to keep track. Usually, I keep the description blank because this is just for me. I don’t need a description of a parent communication log. I know what this form is all about. 

QUestion 1: Student Names

I like the first question on the form to be the student’s names. On the right choose dropdown. Enter student names. I make this question and most of the questions on the form required. Just in case I’m in a rush that will ensure I included all the necessary information. 

*I have obviously created a fake class for this and have chosen fake names for this fake class. 

Question 2: Date

The date is obviously helpful for tracking parent communication. Here you can keep track of when the conversations took place. Click date as the question type on the right. Again, I make this question required. 

Question 3: Method of Contact

Click checkboxes as the question type- every once in a while you’ll have multiple methods of contact. This allows you to select what you need. I also have an other option because you really never know what else you might need. Having that option available just makes things easier. 

Question 4: Reason for Contact

This one is so important and I struggled a bit with what categories it should be. I also add an other box to this one because sometimes the reason for contact doesn’t match any of the options. A few years ago I had an academic progress option but I felt that fell under academic. Choose what works for you. You might find that you are constantly typing in an option. If that’s the case, edit your form and add that option in. 

Here I chose multiple choice but it could also be beneficial to use checkboxes so that more than one option could be chosen.

Question 5: Initiated By

This wasn’t originally a question on the form but I soon realized I wanted to know who reached out to who. I chose multiple choice for this question and also added an other option. 

Question 6: Notes

Use the paragraph option this will allow you to type whatever you need to type in the box. This is the box where I type in all of the details of our conversation. What topics were discussed? What ideas were expressed by me and what ideas were expressed by the parents? This is really the reason you’re using a parent communication log so make sure to write all the details. 

Question 7: Follow Up

Sometimes this just says none and sometimes it lists out different things I need to do after the communication. This helps me keep track of the next steps. Sometimes I also schedule next steps into my Google Calendar just to help me stay on top of everything in the classroom. 

Analyze Your Data

Once you have your form set and enter the communication data you can see all your parent communication very clearly laid out. I am using the fake names and fake student data that I created for this blog post. (aka I just filled out the form by randomly clicking several a few times) 

Just peaking at this data what do you notice? What sticks out to you? 

Usually, in this section I notice that I’m communicating about one student at a far larger scale than the others. I reflect on this and make adjustments as needed.

I also notice that there are students who I’ve made no parent contact with or limited contact with. I reflect on that and also adjust as needed. 

It used to be that if you didn’t hear from me, everything is going well. That just isn’t the case anymore. We need to communicate with all parents and give them insights into their children’s learning. Of course, Seesaw opens up an amazing venue for parent communication but a quick email or phone call doesn’t hurt either. 

This one I find interesting. Emails typically win out and when I notice that I try to be more conscious of picking up the phone. Even though as an introvert I despise talking on the phone it is usually the best way to ensure your message is heard in the proper tone and with the proper delivery. 

I like to try to keep a balance between academics and social-emotional contact. Here you can see I made contact for social-emotional reasons far more than any other reason. Depending on the time of year you might make contact for one area more than other areas. Just keep in mind that we educate the whole child and therefore our parent communication should reflect that.

Using Seesaw

Seesaw is one of my favorite new tech tools in the classroom. It makes communication between home and school seamless. I started using it a few years ago, and I have improved so much! Let’s talk about how to plan seesaw posts to enhance your parent communication. 

I initially began using Seesaw as a first-grade teacher. Our kindergarten program was Reggio Emilia inspired. A large part of the Reggio approach is using pictures as documentation to show learning. Parents received a file folder filled with photos that documented each week’s learning. I couldn’t compete with that! The grade one classroom was structured differently, and while we took pictures, we no longer took as many photos as they did the year before. Our documentation of learning happens differently. I had to bridge the expectation gap somehow, and that is where Seesaw saved me. 

My assistant teacher took pictures of the students in one class period every day and shared it on Seesaw. As we got into our school year, the kids began posting messages about their learning. Parents loved it! Homework used to be the way that parents kept up to date with their child’s education. Today, as we follow the research, there’s less homework sent home. Parents still desire that connection to school; Seesaw helps fill in that gap. 

How to Plan Seesaw Posts

Reflect

First, reflect on the learning in your classroom. Each week I start with a simple reflection that I am already doing- this isn’t extra work just for Seesaw. What are my instructional goals in each subject? How could I use a post to teach parents about something? What do parents want to see? What might be some useful posts for the week? When planning seesaw posts, I don’t like to go out of my way to make Seesaw posts. I want them to be natural parts of our learning or meaningful extensions of the work we’re doing. Let’s take next week as an example.

In reading, we’re working to envision our stories. We’re working to make a movie in our minds about what is happening on the page. I know that many parents and students believe that if they read the words and can do a quick retell, they understand and comprehend the book. As a teacher, I know that the level of comprehension required in my grade level is much deeper than that. 

Possible Posts: 
-Students can share a stop and sketch by taking a picture and recording how the stop and sketch helped their understanding of the text. 
-A student could do a digital stop and sketch. They could draw out what is happening in their story and record themselves reading the paragraph that led to this stop and sketch.

In writing, we’re working on publishing personal narratives. I always like to use Seesaw to document the editing and revision process. It is simple and a great reflection tool for students to show what they started with, what changes they made, and why those changes were made. This way, when parents see the final product, they know a bit more about the work that went into making this piece. As a teacher, I also know that parents can sometimes expect perfect finished pieces. Adding the editing and revising process to Seesaw would show just how much the student improved their writing.  

Possible Post: 
-Have students take a picture of their story at the end of a writer’s workshop lesson and explain what changes were made. We write in black pen and edit in green pen so new changes will be visible.

In math, we’re working to understand the distributive property of multiplication. I know that many parents were raised on answer-getting math, just like I was. We memorized definitions of different properties, and that was that. I know that adding a post with a deep understanding and description of the property can help parents see why connected learning is so important in math. 

Possible Post: 
-Perhaps I could create an activity where students could solve a problem using the distributive property on Seesaw and then could record themselves explaining how they solved it.

In science, we’re working to understand forces. Science is always such an easy one for me to share. I feel like science lends itself to sharing so naturally. Kids LOVE to take pictures and videos of experiments as we engage in the scientific method. As a teacher, I know that science has shifted with the NGSS. Using Seesaw could help parents see how science class now intertwines science and engineering practices, crosscutting concepts, and disciplinary core ideas. 

Possible Post:
-Recording of an experiment with an added caption about the experiment

In word study, we are studying long and short e. We’ve worked on sorting out different patterns and are working to incorporate this spelling pattern into our writing. I know that word study is another large shift for teachers and parents. No longer are we memorizing a list of words we’re studying that patterns in words. 

Possible Posts:
-Create an activity where students sort words into different categories.
-Have students find long e and short e words in their writing and double-check that they are spelled correctly or explain which pattern is used. 

From this quick reflection, I have so many possible Seesaw posts that tie into our learning. Now I have to figure out which ones would be most meaningful for students and parents. Remember that Seesaw allows students to share their learning, but it also creates a story and sends a message to parents about what’s happening in your classroom.

Now that we’ve reflected, it is time to plan. The screenshot above shows the different types of posts students can create. 

    1. Photo- A photo uses the device’s camera to take a photo. Once the picture is taken, there are so many great tools that a student can use to demonstrate learning. They can add labels or a caption. Kids can record themselves talking while the image is displayed. They can take another picture and layer that on top of the first image. They also have drawing tools available to demonstrate learning.
    2. Drawing- A drawing presents the student with a blank page and all of the same tools available on the photo. They can use the drawing, labeling, and picture tools while creating a drawing. 
    3. Video- Creating a video uses the device’s camera to record. Just a fair warning that depending on the age of your students, you might want to do a quick lesson on camera stability before letting them record. I’ve been taken on quite a few motion-sickness inducing videos before! 
    4. Upload- Here, students can upload something they already have. Maybe they are working on a google doc that they want to share. Or perhaps the picture or video they want to upload is already on the device. This is the one for them. 
    5. Note- When posting a note, students have access to a sort of word processor. They can type up what they want to share and later can record.
    6. Link- The link is where students can paste in a URL, and it will display the link. Students then have the option to record and discuss the link.

Think about which tool might best slide in with the learning already happening in your classroom. Which one is the best choice for your students? Remember that you don’t want to overwhelm parents with a bunch of things that aren’t meaningful. Which ones are the most meaningful? What is the story you’re creating and sending home to parents? 

Assign an Activity

When you assign an activity, you can choose from already created and shared activities, or you can create your own activity. To be honest, I rarely just assign an activity from the activity library. Usually, I need to make a few tweaks to the activity to make it seamlessly fit into our learning.
I usually create activities for all the posts we share. This is because I have a large number of students in my classroom whose native language isn’t English. Strategies for non-native English speakers are suitable for all students. I think it is helpful for students to see the directions after I have given them, so I try to always create an activity for whatever we are going to post. When I create an activity, it stays in my library. That means I can look back from year to year and reuse activities instead of having to generate new ideas each and every year.

Time To Share Another Resource!

I’m all about sharing the resources that I use in my classroom. Today I am talking about one of my favorite apps and a serious life saver… Epic! You might have heard of this one as several teachers I know use it. Epic! is totally free to classroom teachers and is a great resource for all readers. 

Epic! is a website & app that has so many books for every kind of reader. It has audiobooks and read to me books. It has fiction and nonfiction. It has popular series like Fluffy! and it has new series to love! Epic! engages my students in reading. I know that there are studies about the benefits of reading paper books and this by no means replaces my classroom library but compliments it so well.

Before we really dive in this post is in no way affiliated with Epic! I just love this resource and want to share! 

Listen

The number 1 way I use Epic! in my classroom is as the listening center. Each week my students take time to listen to stories. Listening helps them hear a fluent model and lets them enjoy stories that are still a bit too challenging to read on their own. The kids LOVE listening center. They can’t wait to go to listening center. Partially because it is pretty fun to wear headphones but I also suspect it has something to do with the selection of Read to Me texts on Epic! There is a wide variety of fiction and nonfiction books. All the books are of a high quality and the reading on the audiobook is fluent! What more could you ask for?

We also listen to a story during snack each day. Partially because snack is sandwiched into our day when we can’t add any more time to it and partially to grow our love for books. When the story is on the kids are happily eating and not chit chatting. Chit chat during snack would be fun but we only have 10 minutes before we have to be somewhere else so we have a listening snack. I much prefer that to a silent snack. 

Read

The kids can listen to books but they can also select books to read on their own. Again the selection of texts is quite high and very interesting to the students. I’ve used Epic! for several years now and can honestly say that I have never had a student who couldn’t find anything to read on the app. They always find something they love. When kids first log into their account they click on a few things they like and that helps Epic! recommend interesting books to each and every child. 

Watch

There are also lots of videos on Epic! There are videos of different learning concept and then, then there are lego videos! Lego videos are a sure hit in grade 1. Sometimes during snack we watch a Lego video. In case you’ve never watched one of these they break down how to build different Lego stuff… I am not really a Lego expert. It is a great model for a how-to and they are super engaging. 

No Levels... No Quizzes... Just Reading

One thing I absolutely love about Epic! is that it is simply just books. There are no levels and a child is never told, no they can’t read that book. There are quizzes after some of the books but my kids just think they are fun perks. They don’t automatically assume that we read to take quizzes. When there is a quiz they don’t have to take it but often do- a fun little surprise. This app helps to grow the love for books within my classroom. Often I hear students sharing recommendations with one another and our little community of readers keeps growing and growing.

Life Without A Guidance Counselor

A few years ago I was teaching and there was no guidance counselor… well there was but she had many many other duties at my school and guidance, it just didn’t happen. I was used to weekly classes taught by the guidance counselor where my students learned about how to get along, how to deal with problems, how to stay healthy, how to study, and so much more. To say I was dying without a guidance counselor would be an understatement. I knew that I had to reach my students with these topics but I just wasn’t trained and didn’t have the language and knowledge to do so. My talks were falling flat and I didn’t know how to become a more effective makeshift guidance counselor. Then I remembered a resource another teacher shared with me the year before- School Tools TV. This is in no way a sponsored post. I just love School Tools TV and wanted to share it will all of my lovely followers. 

Ok, So What is It?

School Tools TV is a website run by a man, who I swear is a genius, named Rusty. I believe Rusty is a former guidance counselor and is our virtual guidance counselor. He has a subscription website with quick little videos teaching social-emotional skills. He is the virtual guidance counselor we all need. Rusty is a real cool guy and the kids buy into him right away. He connects with them and speaks their language. Rusty has become another member of our classroom.  

There are three levels of subscription. My school pays for level 1 for me- it costs $75 per teacher and it wasn’t that hard of a sell to my administrator. I did work at a school where everyone used it and it was pretty cool. With my level 1 subscription, I get access to daily videos. These videos are so cool! Since using Rusty’s videos I’ve seen a decrease in conflict in the classroom and an increase in effective communication skills. Since I currently teach grade 1 I watch the K-2 videos but I started out watching the 3- 7 videos and they are just as great. 

How it Works in My Classroom

I decided to incorporate Rusty’s videos into my morning meeting. We start with a greeting, then we watch Rusty and for share, we discuss the prompt that Rusty has given us. Then we complete a class challenge and that’s our morning meeting! 

Here’s how one of his videos goes! It only lasts about a minute but that minute is one of the most valuable ones of my day! 

“Hi and welcome back little diamonds!” Oh yeah… he calls the K-2 kids little diamonds and I just find it so adorable. My kids identify as diamonds. This year they declared that they are not little, just diamonds. Last year one of my students shaved a diamond into his hair for Rusty. I mean that is how much the kids love him!

After greeting the little diamonds he gives a shout out to one of his classes. My classes have died when we’ve gotten a shout out. Once they tried to get me to email it to all teachers so everyone would know. One year I had to play it during an assembly so the whole elementary could know about Rusty and our shout out. 

After the shout out Rusty shares the feeling word of the week. We made the feeling word part of our calendar and it is listed there along with a picture of the feeling. This has not only helped kids identify their feelings but it helped them as readers identifying character feelings.

Then Rusty gets down to business teaching a new skill. He might teach about not giving up when you’re frustrated, or why we walk in the halls at school, or how to notice when a friend is feeling sad. Then he gives a small piece of advice that kids can try out that day and he asks a question to push their thinking further. 

His videos then end with a poem. A poem that is the first poem we glue into our poetry notebooks and one that my diamonds recite with him each and every morning. 

After the poem, the question pops up on the screen and we move into a circle to share. Sometimes we make a quick anchor chart to remind us of Rusty’s words. Sometimes we set up a little challenge for ourselves based on what was said. We might even try to do something new depending on the topic of the video.
